Scope and who we are

This Privacy Notice applies to chelseasmixedpot.com, the catering inquiry form on this website, and related communications that begin through the website. “Chelsea’s Mixed Pot,” “we,” “us,” and “our” refer to Chelsea’s Mixed Pot LLC, a North Carolina catering business serving Greater Charlotte and nearby communities.

This notice does not replace the privacy terms of a later signed catering agreement, payment processor, venue, social-media platform, or other third party you choose to use.

Information we collect

Information you provide

When you submit a catering inquiry, call, email, or otherwise contact us, we may collect:

  • Contact details: first and last name, email address, and telephone number.
  • Event details: event type, proposed date, estimated guest count, city or venue, requested service style, cuisine interests, saved dishes, and general planning notes.
  • Communications: messages, follow-up questions, proposals, approvals, and other correspondence about your event.
  • Consent records: whether you accepted the Website & Inquiry Terms and this Privacy Notice, plus the policy version and submission time.
Please keep sensitive information out of the website form.

Do not enter medical information, diagnoses, food-allergy details, payment-card numbers, government identifiers, passwords, or information about children. Tell us only that an allergy discussion is needed; we will collect necessary details directly during menu planning.

Information collected automatically

Our hosting and form-delivery providers may automatically receive basic technical information needed to operate and protect the site, such as your IP address, browser or device type, referring page, origin, submission time, and request metadata. We do not use that information to create advertising profiles.

How we use information

We use information for legitimate catering and business purposes, including to:

  • receive, review, and respond to your inquiry;
  • check availability and understand the size, location, and style of your event;
  • recommend dishes, develop a menu, and prepare a proposal or agreement;
  • contact you by email or phone about the request you initiated;
  • maintain business, tax, accounting, insurance, and dispute-resolution records;
  • protect the website, detect spam or abuse, and troubleshoot delivery problems;
  • comply with law, lawful process, and food-safety obligations; and
  • establish, exercise, or defend legal claims.

Submitting the inquiry form authorizes communications about that inquiry. It does not enroll you in a marketing list.

Service providers and other disclosures

We do not sell personal information. We disclose information only as reasonably needed for the purposes described here.

Authorities or legal recipientsWe may disclose information when required by law, lawful process, or to protect rights, safety, and security.
Business successorInformation may transfer as part of a merger, reorganization, financing, sale, or transfer of all or part of the business, subject to applicable law.

We may also share limited event information with a venue, staffing provider, rental provider, or other event vendor when you authorize it or when reasonably necessary to perform an agreed service. We do not give vendors permission to use your information for their unrelated marketing.

Cookies, analytics, and advertising

This version of the website does not use advertising pixels, behavioral analytics, cross-site tracking, or a marketing-cookie platform operated by Chelsea’s Mixed Pot. The site uses ordinary browser functionality needed to display pages and run the inquiry form.

The site requests font files from Google Fonts to preserve the visual design. Those requests may disclose ordinary connection information to Google. We do not use Google Analytics or Google advertising tools on this version of the website.

Our hosting and form providers may use security and operational technologies under their own policies. Following links to telephone, email, social media, maps, or another third-party site means that provider’s privacy practices apply once you leave our website.

How long we keep information

We keep information only as long as reasonably necessary for the purpose for which it was collected, while allowing for legal, accounting, insurance, security, and dispute-resolution needs.

  • Inquiries that do not become bookings: generally up to 24 months after the last meaningful communication.
  • Booked events and financial records: generally for the duration of the client relationship and up to seven years afterward, or longer when law or a pending matter requires it.
  • Security and delivery records: according to the reasonable operational schedules of our hosting and form providers.
  • Opt-out or suppression records: as long as reasonably needed to honor the request.

Formspark states that form submissions remain in the customer workspace until the customer deletes them. We periodically review and delete submissions that are no longer needed under our retention approach. Copies may remain temporarily in provider backups or legal archives.

Security

We use reasonable administrative and technical measures appropriate to a small catering business, including HTTPS, access controls, limited collection, validation, spam controls, and reputable hosting and form-delivery providers. Only people with a business need should have access to inquiry records.

No website, email system, or storage method can be guaranteed completely secure. Please do not use the website form for information that would cause serious harm if disclosed.

Your choices and requests

You may ask us to:

  • confirm whether we hold information about you;
  • provide a reasonable copy of the information you submitted;
  • correct inaccurate contact or event information;
  • delete information that we no longer need or are not legally required to retain; or
  • stop nonessential communications.

Email Book@chelseasmixedpot.com with the subject “Privacy Request.” We may need to verify the request before acting. We will respond within a reasonable period and explain if we cannot fully honor a request because of law, security, a contract, or an active dispute.

Email and telephone communications

When you submit an inquiry, we may reply by email or telephone using the information you provide. These are service communications about your request, not a promise that the date is available or booked.

We do not use the website inquiry checkbox as consent for recurring promotional email or marketing text messages. If we later offer a separate marketing program, it will use a separate choice and an appropriate opt-out method.

Children

The website and inquiry form are intended for adults arranging catering. We do not knowingly collect personal information directly from children under 13. A parent or guardian planning a child’s event should provide the adult’s own contact information and should not submit personal information about the child through the form.

International processing

Chelsea’s Mixed Pot operates in North Carolina. Some service providers process information in other locations. Formspark states that submission data is stored in Ireland and Germany and that certain subprocessors may operate elsewhere. By using the inquiry form, you understand that information may be processed outside your state or country, subject to the safeguards and policies of the relevant provider.

Changes to this notice

We may update this Privacy Notice when the website, our practices, our providers, or applicable requirements change. The effective date at the top identifies the current version. Material changes will be presented on this page before or when they take effect.
